Quality Assurance Procedures

We try to assure our quality from the time we make first contact with the client. Our marketing representative assesses the client’s needs and answers any questions that they have regarding our operations in a professional manner. The clients’ needs are then discussed with our technical staff. Capacity is assessed and a future plan is discussed as to start of the trial period and requirements from the client. The client is offered a seven (7) working days limited trial period of definite time to assess our capabilities. During the trial period an ongoing feedback channel is kept open with the client. After the trial period a formal contract is submitted for client’s approval. If the client decides not to use our services a feedback for our performances is requested from the client. This helps us in continuously improving our operations.

After the formal agreement a team comprising of Medical Transcription Executives, Quality Control Executives and Supervisors is selected for that particular client. The team is responsible for completing daily work and submitting it for delivery. Voice files are transcribed by Medical Transcripion Executives (MTEs), these MTEs were selected during the trial data period by the Supervisors and Quality Control Manager, based upon their performance on that particular account. The transcribed documents are then submitted to Quality Control Executives for Quality Control. All files must pass through 1st Level of Quality Control done by Quality Control Executives (QCEs) before being submitted to the client. If the Quality Control Executives are not satisfied with any files then those files are submitted to Supervisors, which are our 2nd Level of Quality Control. Quality Supervisors routinely check on other completed files passed through 1st Level and are ready for delivery. This ensures a check on our quality practices of our MTEs and QCEs.
